# Backups and recovery

How we protect your records and files, what to expect during recovery, and the records you should keep yourself.

On this page

Our backup policy covers the application database, uploaded and shared files, and the settings and software needed to rebuild Avioverse. It applies across subscription tiers.

## How your data is protected

Encrypted recovery copies are kept in EU storage, separately from the working service. Access is restricted, and recovery keys are held separately from the application servers. Backup storage has protections against deletion or replacement by the working servers.

## Backup frequency and recovery history

Database changes are backed up continuously, supported by daily recovery copies and regular complete copies. Files and server settings are backed up hourly. Our recovery-history target is fourteen days; the available history builds up after activation and depends on successful backups.

When backups are healthy, the potential loss of recent database changes is about five minutes plus transfer delay. For files, it is about one hour plus the time needed to capture and finish the copy. Failed or delayed backups can increase these periods. A recovery point does not necessarily include your very latest changes.

## Monitoring and recovery checks

Independent monitoring alerts our operations team when a backup fails or stops reporting. Completed backups also produce operations notifications. We check the integrity of stored copies and schedule complete recovery exercises monthly and after material changes to the backup setup.

Recovery exercises use a separate, clean environment and verify the restored database, files and settings. Successful uploads alone are not enough to show that recovery works.

## If the service needs recovery

An operator selects an appropriate recovery point, restores the service and checks the records and files together before reopening it. Completed account erasures must be applied again, and external payments and pending work must be reconciled. Database and file copies have separate schedules, so these checks are part of recovery.

Our target is to have the whole service running again within four hours (recovery time objective, RTO). Our latest recovery rehearsal, in October 2026, restored the database and every file in under an hour. Contact us through the [contact page](https://avioverse.aero/contact) if you suspect data loss or need information for a supplier assessment.

## Deletion and records you need to retain

Recovery copies are used for disaster recovery. They are not a personal archive or a guaranteed way to undo individual deletions. Copies can remain in backup storage beyond the usable recovery window; the [privacy policy](https://avioverse.aero/legal/privacy) explains retention and account deletion.

Your organisation remains responsible for its approved aviation record-retention and continuity requirements. Keep exports or independent copies of records you must preserve for longer than the backup window. Our backup policy and dated recovery evidence can support your supplier assessment; organisational approvals and information-security compliance remain your organisation's responsibility.

Informational only — you verify against the approved exposition before you act.

## Frequently asked questions

### Can I restore a deleted record from a backup myself?

Backups are operated for service recovery. There is no self-service backup browser or guaranteed recovery of an individual deleted record. Contact us promptly if you suspect data loss, and keep your own exports of records you need to retain.

### Does this replace my organisation's record-retention policy?

No. Your organisation remains responsible for its approved retention periods, continuity arrangements and required aviation records. Keep suitable exports or independent copies where your obligations require them.
